Privacy Policy

This Privacy Policy explains how Apex Iron LLC ("Apex Iron," "we," "us," or "our") collects, uses, stores, and shares information when you use the Apex Iron mobile app and related services.

Apex Iron is a fitness, nutrition, workout tracking, optional Health Connect syncing, and AI coaching app. The app uses account, profile, workout, workout feedback, optional Coach Memory, food journal, progress photo, body composition, optional device health summaries, and AI coach data to provide personalized fitness features. Apex Iron is not a medical device and does not provide medical advice, diagnosis, or treatment.

Before first use of each AI, photo, body scan, barcode, Health Connect, and notification feature, the app shows an in-app disclosure explaining what information is processed. For AI features, the disclosure names OpenAI and explains what is sent through Apex Iron's Firebase and Google Cloud backend. You can choose not to continue. AI permission is tied to your Apex Iron account on that device, and you can withdraw saved AI permissions in Settings > Privacy & Diagnostics > AI data sharing. Withdrawal stops future OpenAI and YMove workout-fallback transfers until you explicitly consent again. Coach Memory has its own separate control.

Information We Collect

We collect information you provide, information generated through app use, and information processed by service providers that help operate the app.

Account Information

  • Email address
  • Firebase user ID
  • Display name or nickname, if provided
  • Account creation and update timestamps
  • Subscription or account tier status

Purchase and Subscription Information

When you start, restore, renew, change, refund, or cancel Apex Iron Pro through the Apple App Store, Apple processes the payment and Apex Iron may receive and store purchase history and entitlement information needed to provide the service. This may include the product and plan identifier, Apple transaction and original transaction identifiers, purchase and expiration dates, renewal, grace-period, billing, refund or revocation status, App Store environment, and server-notification identifiers used to prevent duplicate processing.

Apex Iron creates a random app-account token to associate the Apple purchase with the correct Apex Iron account without sending your email address to StoreKit. We use verified purchase information to unlock and restore paid features, provide support, and prevent fraud or a single purchase from being attached to multiple accounts. Apple handles Apple Account billing and payment-card information. Apex Iron does not receive or store your full payment-card number, bank-account number, or Apple Account password.

If you start, restore, renew, change, or cancel Apex Iron Pro through Google Play, Apex Iron may receive and store the purchase token and a one-way token hash, product and base plan, order identifier, purchase and acknowledgement status, expiration, renewal or cancellation state, grace period or account hold, test-purchase status, and a one-way account identifier used to bind the purchase to your Apex account. Google Play processes your payment method. Apex Iron does not receive or store your full card number, bank account number, or Google Play payment credentials.

Fitness Profile Information

  • Age, sex, height, and weight
  • Fitness level, goals, activity level, and preferences
  • Injuries, limitations, or exercise restrictions you choose to enter
  • Body measurements or body composition estimates

Workout and Progress Information

  • Generated or manually created workout plans
  • Exercises, sets, reps, weight used, rest timers, completion status, and workout history
  • Calories burned estimates, streaks, personal records, badges, levels, and progress summaries
  • Exercise preferences, available equipment, focus areas, and workout goals
  • Post-workout feedback, such as difficulty ratings, selected feedback tags, and optional notes
  • Optional Coach Memory, such as liked exercises, exercises to avoid, preferred equipment, preferred training styles, training schedule, target outcome, dietary preferences, food allergies, disliked foods, and coaching notes you choose to save

Health Connect Information

If you choose to enable Health Connect sync on a supported Android device, Apex Iron may read selected daily summaries you authorize, such as steps, active calories, sleep duration, heart rate, resting heart rate, heart-rate variability, respiratory rate, activity intensity, weight, and workouts. Apex Iron stores a daily Health Connect summary in your account so the dashboard, progress views, readiness features, and AI coaching features can use it. You can disconnect Health Connect in Apex Iron or Android settings at any time. The in-app disconnect control also offers an option to delete stored Health Connect summaries.

Nutrition and Meal Photo Information

  • Meal photos you choose to analyze and whether you explicitly choose to retain them
  • Meal names, meal types, calories, macronutrients, portions, data sources, confidence levels, review status, notes, and timestamps
  • Barcode values you choose to scan for packaged food lookup
  • Typed or dictated meal descriptions you choose to enter
  • Food names, servings, nutrition values, favorites, and reuse history you choose to save in your private My Foods library
  • Suggested calorie and macro targets, complete-log day counts, weigh-in trends, and bounded target adjustments generated from your profile and logging history

Meal photos are sent for one-time analysis and are not retained in Apex Iron cloud storage by default. Foods saved in My Foods are private to your account and are not published to a shared community database. Editing or deleting a saved food does not rewrite meals you previously logged. AI identifies foods and portions; Apex Iron uses USDA FoodData Central nutrition data when a strong match is available and labels unmatched values as estimates. Product and food records may be incomplete, so review each serving before saving.

Visual Progress Scan Information

  • Standardized front and side progress photos you choose to analyze and whether you explicitly choose to retain them
  • Height and weight submitted with a scan
  • Estimated body fat percentage, muscle mass, measurements, waist-to-height ratio, image-quality checks, posture notes, confidence levels, estimate ranges, waist corrections, and scan timestamps

Photos are sent for one-time analysis and are not retained in Apex Iron cloud storage by default. Visual Progress Scan results are approximate ranges, not medical measurements, and should not be used for medical decisions.

AI Coach Content

When you use AI features, we may process coach messages, recent chat context, profile context, workout preferences, saved plan structure, current workout progress counters, deterministic nutrition targets, aggregate food-log totals including today's macro totals, weigh-in trends, readiness summaries, recent training and workout feedback, and optional Health Connect summaries you authorized. Raw individual meal entries and meal photos are not included in Apex Coach chat context. Optional Coach Memory is included only when enabled. Other AI features may process meal or body-scan photo context when you initiate those features, and Coach may receive the latest body-composition and waist estimates you submitted when relevant. If you report an AI response, Apex Iron stores the reported response, your selected reason, and any optional details you provide so the report can be reviewed for safety and quality. Do not submit information you do not want processed by AI services.

Photos, Camera, and Device Access

Apex Iron may let you choose photos from your device or take photos for meal analysis and Visual Progress Scan, and scan food barcodes. On Android, photo selection uses the system photo picker, so Apex Iron receives only the photo you select and does not request broad access to your image library. On Apple devices, Apex Iron may request photo-library access when you choose a meal or body-scan photo. Selected photos are transmitted securely for the analysis you request and retained in cloud storage only when you separately opt in. Barcode lookup sends the scanned barcode to a product database to retrieve product information. The app may request camera, photo-library access on Apple devices, microphone, biometric, notification, activity recognition, and Health Connect read permissions for optional features. The app does not request broad access to contacts, SMS, location, or advertising ID; on Android, it does not request broad photo-library access. Device speech recognition turns optional voice meal logging or voice messages to Apex Coach into text. Apex Iron receives the recognized text, but does not store raw microphone audio.

Technical Information

We and our service providers may process technical information needed to operate the app, such as authentication tokens, IP address, device or app metadata, request logs, security logs, crash reports, stack traces, error logs, app-integrity signals, AI request counts, privacy-filtered feature interaction events, request duration, and performance diagnostics generated by Firebase, Google Cloud, OpenAI, or other service providers. Apex Iron analytics events are designed not to include coach messages, exercise names, meal details, photos, or Health Connect values. You can disable optional Usage & Performance collection in Settings.

Apex Iron uses Firebase Crashlytics to help identify and fix app crashes, non-fatal errors, and stability issues. Crash reports may include app version, device model, operating system version, crash time, stack trace, and related diagnostic information.

How We Use Information

  • Create, authenticate, and manage your account
  • Provide app functionality and sync your data across devices
  • Generate workouts and personalized Coach responses using approved profile, training, aggregate nutrition, weight-trend, readiness, optional Health Connect, and optional Coach Memory context
  • Generate meal estimates and body scan estimates when you initiate those features
  • Calculate starting nutrition targets and conservatively adapt calorie targets after sufficient food-log and weigh-in history
  • Generate and adjust AI workout plans using your request, profile, readiness, recent training history, workout feedback, and optional Coach Memory when enabled
  • Provide readiness-based progression suggestions when requested
  • Track workouts, nutrition, cardio, body metrics, badges, optional Health Connect summaries, and progress
  • Send local workout, nutrition, readiness, and goal-based reminders when enabled
  • Improve reliability, security, fraud prevention, and support
  • Verify subscriptions, provide paid access, restore purchases, and respond to billing support requests
  • Review user-submitted AI content reports for safety, quality, and policy compliance
  • Understand feature adoption, failed app flows, and performance when optional usage diagnostics are enabled
  • Comply with legal obligations

We do not sell your personal information.

Service Providers

We require providers handling personal information for Apex Iron to apply privacy and security protections consistent with this policy and applicable law.

Apex Iron uses Firebase and Google Cloud for authentication, cloud functions, database storage, file storage, crash reporting, optional usage analytics, optional performance monitoring, remote safety controls, app security, and infrastructure. Apex Iron uses OpenAI API services for AI coaching, workout generation, readiness-based workout adjustment, meal text analysis, meal photo analysis, macro recalculation, and body scan analysis. Depending on the feature, AI prompts may include profile and submitted body-composition context, workout preferences, opted-in Coach Memory, saved plan structure, current workout progress counters, workout feedback, readiness summaries, detailed recent workout performance and training summaries, completed workout summaries, aggregate food-log totals including today's macro totals, weight trends, optional Health Connect summaries, chat content, meal descriptions, meal notes, serving descriptions, and photos or retained-photo URLs submitted for analysis. Raw individual meal entries and meal photos are not included in Apex Coach chat context. Apex Iron sends OpenAI Responses API requests with store: false, so generated responses are not stored as retrievable application state. OpenAI states API data is not used to train its models unless the API customer explicitly opts in. OpenAI's default abuse-monitoring logs may contain prompts, responses, and related metadata for up to 30 days, unless longer retention is legally required or reasonably necessary to protect services or third parties. Direct food-search terms may be sent through Apex Iron's authenticated Firebase backend to USDA FoodData Central to display matching public nutrition records. A bounded server cache may retain a normalized search term and its public result for up to 15 minutes without storing the requesting account identifier in the cache entry, reducing repeated USDA requests. Food names identified during AI analysis may be sent first to USDA FoodData Central and, when no strong match is available, to YMove for secondary nutrition matching; meal photos, full meal logs, account email, fitness profile, and the private My Foods library are not sent with those lookups. Barcode lookup may send scanned barcode values first to Open Food Facts and, if the primary lookup is unavailable or has no result, to YMove to retrieve product name, serving, and nutrition information. When you open an exercise demonstration, Apex Iron may send the exercise name and general equipment category from our server to YMove to locate licensed media. Exercise-media requests do not include your account email, profile, health information, workout performance, or food log. YMove or its content-delivery provider may process technical network information when the video is streamed. Apex Iron does not use legacy external exercise-video links for in-app demonstrations.

If OpenAI cannot return a usable generated workout, Apex Iron may send derived workout requirements to YMove as a fallback, including target muscle groups, equipment, experience level, requested exercise count, workout type, and session structure. Apex Iron does not send your account email, Coach chat, food log, photos, or full profile with this fallback.

If enabled by you, Apex Iron reads authorized health and fitness summaries from Health Connect on your Android device. Apex Iron does not write Health Connect data back to other health apps.

Apple processes App Store purchases and provides signed transaction, entitlement, renewal, refund, and server-notification information that Apex Iron verifies to provide Apex Iron Pro. Apple's handling of Apple Account and payment information is governed by Apple's terms and privacy policy.

Google Play processes Android purchases and subscription management. Apex Iron sends Google Play a one-way account identifier and receives subscription lifecycle data needed to verify and acknowledge purchases, restore access, and respond to renewals, cancellations, grace periods, account holds, pauses, or expiration. Google Play's processing is governed by Google's applicable terms and privacy policy.

Data Sharing

We may share information with service providers, including Firebase, Google Cloud, OpenAI, YMove, Apple, and Google Play Billing, that process data on our behalf, when needed to provide app functionality, with USDA FoodData Central and other food or product lookup providers when you choose to search for a food or scan a packaged food barcode, to comply with law, to protect rights and safety, or in connection with a business transfer. We do not share user data with third parties for third-party advertising.

Data Security

We use reasonable administrative, technical, and organizational safeguards. Data is transmitted over encrypted connections, and our infrastructure providers offer encryption protections for stored data. No system can be guaranteed completely secure.

Data Retention and Deletion

We retain account and app data while your account is active or as needed to provide the app. Meal and progress photos are not retained by Apex Iron by default. OpenAI processing retention is described above. Purchase and subscription records may be retained for access restoration, accounting, tax, fraud prevention, chargeback or dispute handling, legal compliance, and support. We may retain limited information for security, fraud prevention, legal compliance, dispute resolution, backups, or enforcing our terms. When you delete your account, we will delete or de-identify account-associated app data unless retention is required for legitimate legal, safety, security, or compliance reasons.

Account and Data Deletion

You may request deletion of your Apex Iron account and associated app data in Settings > Account & Support > Delete Account, or at apexironfitness.com/account-deletion. Deletion requests should include the email address associated with the account so we can verify and process the request.

Your Choices

  • Update profile information in the app
  • Choose whether to upload meal photos or body scan photos
  • Choose whether to save workout feedback after a workout
  • Edit or clear Coach Memory and turn off the Coach Memory AI-use setting
  • Withdraw saved AI data-sharing permissions in Settings; future OpenAI and AI-workout-fallback transfers remain blocked until you explicitly consent again
  • Choose whether to enable Health Connect sync, disconnect it, and delete stored Health Connect summaries
  • Turn local notification reminders on or off in Settings
  • Add, edit, favorite, reuse, or delete foods in your private My Foods library
  • Manage or cancel Apex Iron Pro through your App Store or Google Play account settings and restore eligible purchases in the app
  • Avoid entering sensitive details into the AI coach
  • Request deletion of your account and associated data

Website Guides, Calculator, and Optional Analytics

Website notice updated September 13, 2026. The free six-week guide and website resources are available without creating an account or joining a mailing list. The website calorie calculator performs its calculation in your browser. Its entries and results are not sent to Apex Iron or Google Analytics, and website analytics does not run on the calorie guide page. Our hosting provider may still process ordinary technical requests needed to deliver website pages and files.

Optional website analytics is off until you choose to allow it using Analytics settings in the website footer. If allowed, Google Analytics receives a page address without its query string or fragment, basic device and browser information, and selected interactions: resource links, guide downloads, and Google Play links. Google processes connection information such as IP addresses when receiving these requests and uses analytics cookies with random browser identifiers. We do not send your Apex Iron account ID, calculator entries, food logs, body measurements, or other health values through website analytics. Google signals and advertising personalization are disabled.

We save your analytics preference in this browser's local storage. You can turn analytics off through the same footer setting; this stops future measurement and attempts to remove the site's Google Analytics cookies. This does not delete information already processed. A Global Privacy Control or Do Not Track browser signal keeps website analytics off. If browser storage is unavailable, your choice applies only to the current page.

The optional iOS launch reminder opens an email addressed to support@apexironfitness.com. No request is sent until you send that email. We use your email address and message to handle your launch reminder request and related replies. This is a manual request, not an automatic newsletter signup; contact that address to withdraw the request or ask us to delete it. Avoid including health information in your message.

Children's Privacy

Apex Iron is intended for users who are at least 18 years old, or the age of majority in their location. The app is not directed to children. If you believe a child has provided us personal information, contact us so we can review and delete it as appropriate.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and may provide additional notice in the app or through other appropriate channels.
